Guidelines for purveyors to add data to Syncta's data import template

Overview

This article is for water purveyors. Testing companies should refer to our Data Import Template Guidelines for Testers article to learn more.

If you want to import data from your previous water purveyor solution into Syncta, you can do so using our data import template in Excel. This template provides the exact fields that our developers need in order to import your data into Syncta correctly.

The data must be provided to Syncta in this template and follow the EXACT guidelines listed below; otherwise, there may be additional clean-up charges added to the import fee.


What the Import Does/Does Not Include

The import includes the following data:

  • Customers

  • Service Locations

  • Devices/Assemblies

The import does not include the following data:

  • Test history

  • Water purveyor information


Guidelines for Populating the Excel Template

Use the following guidelines to correctly populate the Excel data import template.

  • Do not remove any columns from the spreadsheet.

  • You may add columns to the end of the spreadsheet; this will create custom fields on the Assembly page in Syncta.

  • Customer columns are Orange.

  • Service Location columns are Blue.

  • Device columns are Green.

  • Each row of the spreadsheet is a device (assembly). This means that customer and service location information will need to be repeated for each row if there are multiple assemblies for the same customer or location.

  • Include only one piece of data per column. For example, don't include City, State, and Zip in one column.

  • All date fields need to be formatted as MM/DD/YYYY.

  • All nine-digit zip code fields need to be formatted as XXXXX-XXXX.


Required Columns

You must include data in two required columns:

  • Customer/Company Name

  • Service Location Address Line 1


Optional Columns

We recommend adding information in the optional columns, but you can leave other columns blank if you do not need that information. The following section lists some of the optional columns that can be populated, with instructions as needed.

  • Parent Customer: If you want to add a name in the Parent Customer column, that name must also exist in a separate row for a Customer/Company Name. This means the Parent Customer must exist as a customer before it can be added as a parent to a Customer/Company Name.

  • Customer Phone 1 must be populated before Customer Phone 2 can be used.

  • Auto Test/Annual Test Program: This is used to keep track of customers enrolled in your automatic annual testing program. Enter Yes or No, or leave this column blank.

  • Water Purveyor: The data in this column must match EXACTLY with the water purveyor name you have selected in Syncta; check here to see the names as you have set up in Syncta: https://app.syncta.com/en/water_purveyors

  • Device Type: The device type you enter must match the options available in Syncta.

  • Freeze Protection: Enter Yes or No, or leave this column blank.

  • Orientation: This column must be populated with one of the following values, or it can be left blank:

  • Device Testing Frequency: This column must be populated with one of the following values:

  • Device Next Test Due Date: Enter the date when this assembly is due to be tested next in format MM/DD/YYYY.

  • If you want to add columns that are not part of this spreadsheet, you can do so at the end of the spreadsheet; this will create custom fields on the Assembly page.


Send Your File to Syncta

Once you have filled in the data import template, save it as a .xlsx file and email it to Syncta at: support@syncta.com to schedule the import.
